5. Audit Appearance Considerations

Reference Articulation Appearance

Eliminating Equivalency courses for certain sub-requirements:

The REVARTL field in the Alternate view of a sub-requirement (General Tab) can prohibit equivalencies from the selected sub-requirement from showing in a Planning Guide with Equivalencies. Using this field will not eliminate the entire sub-requirement from the report, but it will eliminate the reporting of the Source courses that articulate to the courses in the Select From list.

The setting of LISTALL = H separates out the referenced courses so that each course, with it's equivalent, are on separate lines. This format makes the audit long, but a little easier to read. This feature only works with REVART = S. 

Conditional Requirements for Reference Articulation Audits:

The Reference Articulation audit produced by DARS reports the transfer institution's courses in brackets, which may be confusing to students and/or advisors. A Text Requirement explaining what is meant by the brackets may be desired. The COM.BSYSCOND field triggers an assigned Text Requirement to report when the Planning Guide with Equivalencies is requested. The Requirement built for this purpose must contain the Condition Code assigned in COM.BSYSCOND in order to be activated. Please review DARwin documentation for more instruction.

Conditional Requirements for CAS Planning Guides:

DARwin provides the functionality to assign a text requirement to all audits requested from CAS. When a Planning Guide is being run specifically from CAS, the COM.CSRUN set to 'C' in conjunction with a condition code value in COM.CASSYSC, will cause selected text requirements to report in the audit produced. That designated condition code character needs to be located on the Requirement meant to show in the Planning Guides produced specifically for CAS.

Enabling this described function would require a separate COM table for the processing of requests from CAS (which should be the case already).

Audit Appearance in the Institution Information

Certain COM fields can affect the appearance of the audit at the top where the institution and program information is stated.

The "Graduation Date" (DEGDATE) assigned to the student typically reports on a DARS audit. For CAS students, this is not necessary, and will appear as "UNKNOWN". COM.NODEGDATE, when set to "Y", will suppress both the DEGDATE text and the value.

Typically, on CAS audits, the Student ID uses the Student ID in CAS and Student Name reports as "STUDENT NAME NOT SET". COM.STUIDRPT and NAMERPT fields can replace the value reported by the COM.STUID (Student ID) and COM.NAME (Student Name) fields, respectively. The reporting of these fields on the audit is dependent on the value specified in COM.SECURE. Please review DARwin Help Files for settings to control the reporting.

These fields would be advantageously used when the audits are run to store in the Academic Programs area of CAS. When the audits are run for this area, the student 'xxxxxx' is used and is seen on the top of the audit in place of the Student ID.

PREPTXT and PREPDT are used to replace the value on the top left corner of the audit typically reading "PREPARED: 'runtime and date'" representing the date and time the audit was run.

Utilizing all of these features together could give the top of the audit a much cleaner, easier to read presentation.
